Prosper Smart Collections is operated by Zake Ventures Ltd trading as Prosper Online. This policy explains how the app uses merchant store data to evaluate collection rules, preview changes, and keep app-managed Shopify manual collections in sync.
1. Data controller and contact
Zake Ventures Ltd is registered in England and Wales under company number 13884341. Registered office: Royal House, 110 Station Parade, Harrogate, North Yorkshire, HG1 1EP, United Kingdom.

Shopify merchants remain responsible for how they configure their stores and collections. Prosper Online acts as an independent controller for account, support and operational records, and as a processor or service provider where it processes store data to provide the app.
2. Data the app processes
The app reads Shopify product, collection, inventory, variant, tag, pricing and metafield data needed to evaluate collection rules and publish collection membership.
The app stores shop installation details, rule configuration, folders, rule templates, rule revision history, preview and sync history, import review data, cached billing and usage metadata, and product membership snapshots.
If you contact support, Prosper Online processes the submitted contact email, store domain, issue details, collection names or URLs, latest preview or sync result, attachments, consent checkbox response, and related support communications.
The app does not request or store customer records, orders, payment card details, storefront visitor behaviour, storefront cookies, or storefront tracking pixels. Avoid placing personal data in product titles, SKUs, tags, metafields, support messages, screenshots, or recordings unless necessary.
3. How data is used
Data is used to provide Smart Collections features: rule building, previews, imports, folder organization, sync history, billing entitlement checks, security, error diagnosis and support.
Where UK GDPR or EU GDPR applies, the lawful bases are contract performance for providing the app, legitimate interests for security and service reliability, legal obligation for compliance records, and consent where a merchant separately chooses to provide optional support information.
Prosper Online does not use app data for third-party advertising or unrelated marketing unless separately stated and, where required, consented to.
4. Sharing and subprocessors
Store data is not sold. Data may be processed by providers that help operate the app, including Shopify for app installation, OAuth, Admin API access, webhooks, billing and platform services; Prosper Online-managed production infrastructure for hosting, databases, logs, jobs, storage and backups; Asana for support form submissions and ticket handling; and the email provider for support replies.
5. International transfers
Prosper Online is based in the United Kingdom, and service providers may process data in the UK, EEA, United States or other locations. Where required, transfers are protected through appropriate safeguards such as adequacy decisions, the UK International Data Transfer Agreement or Addendum, EU Standard Contractual Clauses, or the UK-US Data Bridge where applicable.
6. Retention
Active installation data, rules, folders, templates, revisions, imports, previews, sync runs and membership snapshots are retained while the app is installed and needed to provide the app.
When the app is uninstalled, app access is revoked, offline tokens are cleared, scheduled syncs are disabled and the installation is marked inactive. App data may remain for a limited period to support reinstall, dispute handling, security, billing and legal obligations. When Shopify sends a shop redact request, shop records and dependent Smart Collections data are deleted from the app database.
Support tickets and submitted attachments are normally retained for up to 24 months after resolution unless a shorter period is requested or a longer period is legally needed. Application logs and background job records are normally retained for up to 90 days unless needed for security or investigation.
7. Merchant rights and requests
Merchants can contact Prosper Online to request access, correction, deletion, restriction, objection to legitimate-interest processing, portability, or withdrawal of consent where those rights apply. Some records may need to be retained where required for security, billing, dispute or legal purposes.
UK merchants and individuals may complain to the Information Commissioner's Office at ico.org.uk if they are unhappy with how a privacy request is handled.
Shopify privacy webhooks for customer data request, customer redact and shop redact are configured for compliance handling. Because the app does not store customer records, customer privacy requests normally result in a no-record response for the app database. If support tickets or attachments contain customer data supplied separately by a merchant, those requests are handled through the support process.
8. Automated decision-making
The app evaluates merchant-configured collection rules and syncs matching products to app-managed manual collections. It does not make automated decisions about individuals that have legal or similarly significant effects.
9. Changes
This policy may be updated as the app, legal requirements or subprocessors change. The version published on this page is the current policy for Prosper Smart Collections.
